Document checklists for each kind of matter

Say which documents each kind of matter must hold and by when, see what each matter is missing, and decide whether closing a matter with gaps warns or stops.

Make a checklist

  1. Open Settings, Documents, Document checklists, and choose New checklist.
  2. Name it and say what it is for.
  3. Add its items. Each item names the document it asks for by a document category, a title pattern (such as passport*) or both; says whether it is required or optional; and says when it is due: from opening, or at a stage of the stage set the matters run through.
  4. Choose the matter types it applies to. Until it applies to at least one, no matter is read against it.

Each change to the items is saved as a new version, and the checklist's Versions tab shows every version with what changed and who changed it. A checklist no longer wanted is retired: its matters are no longer read against it, and nothing they recorded is lost. Put back in use brings it back.

On a matter

A matter's Documents tab shows its checklist with each item's state:

  • Held, with a link to the document that holds it. Filing a document that matches an item ticks it on its own.
  • Not yet due, before the stage it is due at.
  • Missing, when it is due and nothing on the matter matches yet.
  • Waived, with the reason, by someone allowed to waive. Clear takes the waiver back, and the item is held by a matching document again, or missing.

Choose the document names the document that holds an item yourself; Clear lets it go again.

What is missing across the firm

Documents, Missing documents lists every open matter you may read that lacks a required document at its stage, so the gaps can be chased.

Closing a matter with gaps

When a required document is missing at closing, the firm's setting Missing checklist documents at closing decides: warn (the default) tells the person closing and lets them go on; block stops the close until the gap is filled or waived.

Who may

Managing checklists needs document.checklist.manage; waiving an item needs document.checklist.waive.
