Share a document by link

Send one document to someone outside the firm by a link that expires, can ask for a code, can cap downloads and can be closed at any time.

A link shares one version of one document with someone who has no portal account: the other side, an expert, a bank. A client who reads documents in the portal is better served there, and the link page says so, naming the client.

  1. Open the document and choose Share by link.
  2. Name the recipient and give their email address or phone number.
  3. Choose whether they may only read it in the browser or also download it, how many downloads are allowed (no limit when left empty) and how many days it stays open (7 unless you choose otherwise, and never more than the firm's maximum, 90 by default).
  4. Choose No code, A code by email or A code by text. A six-digit code is sent to the recipient when they open the link, so the link alone is not enough. A firm may ask a code on every link.
  5. Choose Send the link to the recipient, or copy it to send yourself. The link is shown once.

What the recipient reads carries their name and the date across it.

Follow and close it

The document's Share links tab lists every link with its state: Open, Expired, Used up or Revoked. Each link's page shows every open and download, with the time, address and device; they are on the document's access log and the matter's activity too.

Revoke closes a link at once, with a reason; it opens nothing from then on.

A document the firm marks privileged or not to be shared cannot be shared by link. A document on a matter under a legal hold is refused too, unless the firm's setting Share links under a legal hold allows it.

The firm's settings

Under Settings, Documents, Document settings: how long links stay open by default and at most, whether a code is optional or required, and the legal hold rule.
