Task templates and workflows

Keep the steps a kind of matter always needs as a workflow, laid out as tasks with owners and due days when the matter opens.

Task templates

A task template is a task the firm sets often, such as "file the appearance", with its description and checklist. Keep them under Settings, Task templates. A template can also say when a task made from it falls due, in days from an anchor (the matter opening, the client's instruction, the workflow being laid out, or the deadline it serves), counted in working days or straight through; the firm's target for finishing it, in hours; and whom it goes to.

Workflows

A workflow is an ordered set of steps. Each step lays out a task template:

  • due a number of calendar or business days after the anchor, usually the day the matter opens, or after the step before it is done, with business days counted on the days the firm works;
  • given to a person named by a rule read from the matter (its responsible, originating or supervising lawyer, its fee earner, paralegal, secretary or support staff), or to a named person; a part nobody holds falls to the responsible lawyer, and the task says so;
  • waiting only on earlier steps.

Preview shows the tasks a workflow would lay out on a sample day.

How workflows reach a matter

  • A matter type's default workflow is laid out once when a matter of that type opens.
  • Any live workflow can be laid out on a matter by hand, from its Tasks tab, once.

Editing a workflow changes what it lays out next time, never the tasks already on a matter.
