A client's statement of account

Read a client's account with the firm over a period and currency, issue it as a PDF on the letterhead, keep it and send it to the client.

Read it

  1. Open the client on Parties and choose the Statement tab.
  2. Choose Filters to set the Period and the Currency. The period starts on the first of January by default and ends today; the currency is cedis unless you choose another.

The statement opens with the balance brought forward. It lists each bill, credit note, payment and write-off, oldest first, with what it charged or credited and the balance after it, and ends with the balance carried forward. Each bill and credit note opens its own page.

Issue it

Issue statement draws the period and currency on screen as a PDF on the firm's letterhead and opens it in the file viewer, where Download saves it. The PDF shows what the client owes by age and the firm's payment details, and ends with the firm's statement note.

Every statement issued is kept under Issued statements, newest first, with its period, the balance at its end, who issued it and whether it has been sent. A kept statement does not change when later entries arrive; issue a new one to show them.

The statement note is set under Settings, Billing settings, in Statement of account note. It starts with a note asking the client to say within 14 days if anything on the statement does not agree with their records. Leave it blank to print none.

Send it

  1. On the statement in Issued statements, open its menu and choose Send to the client.
  2. Check the address in To. It starts with the client's address on file; separate several addresses with commas and add any copies.
  3. Add a covering message if you want one, then choose Send.

The PDF goes as an attachment and replies come to the firm. See deliveries lists every sending of the statement and whether it was delivered or bounced. Send again sends it once more.

Print prints the statement as it stands on screen, without keeping a copy.
