Connect your mailbox and file mail

Browse your own Google or Microsoft mail and keep fixed copies on the matters you can reach.

Connect your own account

The firm administrator first enables Mailbox integration in Settings, Document settings, and configures Google mail or Microsoft mail in Integrations.

  1. Open your profile, then Connections, beside Calendars.
  2. Choose Connect for Google mail or Microsoft mail.
  3. Sign in at the provider and consent to read and send access. You return to Connections with the account and status.

Each account is personal. An administrator can see connection status on your user record, but cannot browse your mailbox. LFMS keeps no copy of a message until you file it.

Browse your mail

Open Mail in the sidebar. Choose the account at the top of its rail, then Inbox or Sent. Search is answered by the provider; use the date range to narrow it further. Newer and Older turn provider pages without claiming a total message count.

Open a message to read it. The Filed to links show reachable matters holding the same filed copy. Attachments cannot be downloaded from this live view: they pass the document scan gate after filing.

File a message or a thread

  1. Open the message and choose File to matter.
  2. Search for a matter, choose its folder and classification, and tick the attachments to keep. Choose File message, or File thread for a whole conversation.

LFMS saves the original message with its headers and selected attachments. Scanning must finish before documents may be downloaded. Filed contents stay fixed; filing never changes the provider's message.

File thread files every message that has no copy yet, keeping all attachments. The dialog tells you how many preview messages are already filed. A background job shows counts of filed and skipped messages. If it stops, completed copies remain; reconnect if needed and try again safely.

Manage where the copy is filed

On the matter's Correspondence, Emails, filter by Mailbox or Matter address. Also filed to names the other matters. Open the copy and use Filed to matters to search its links, add a matter or unlink with a reason.

Exactly one link is primary. Removing it promotes another remaining link. The last link cannot be removed: discard the message with a reason instead. Discard preserves the historical record and marks its documents removed.

Reconnect or disconnect

A lost or expired grant reads Connect again. Return to Connections and choose Reconnect. Until the grant is restored, live browsing and new filing are unavailable; existing filed copies remain.

Disconnect asks for a reason and clears LFMS access. Google revokes the token. Microsoft cannot revoke an individual grant through this read-only connection; remove LFMS consent in your Microsoft account to finish revocation. If provider revocation fails, local access is still cleared and the result tells you to remove provider consent.

Turning firm integration off hides connect and refuses live operations. Stored copies and their matter links remain available. Reply, forward, compose and conversation reading are a later mailbox phase.

Sending from a matter

Write, reply and forward from a matter through your own mailbox. An older connection without send consent keeps reading available and shows Reconnect for sending. Reconnect it to grant the additional scope.
