File email to a matter

Use a matter's own address so mail and attachments arrive scanned and wait for a fee earner to confirm them onto the file, and send from the matter.

The matter's address

Each matter has its own address at the firm's domain, shown on its Emails tab. Copy that address into any email about the matter, or forward mail to it.

A partner can change the address if it leaks; the old one then stops working.

What happens to incoming mail

  1. The message arrives and is scanned, with every attachment, before anyone can open it.
  2. The sender is matched to a party on the register as a suggestion, never as proof: the From line of an email is easy to forge.
  3. The message waits in Mail, under Firm mail, To file.

Confirm or discard

A fee earner confirms the message into a folder of the matter as a kind of document, keeping the attachments they choose. Or they discard it with a reason. Both are recorded.

Mail to an address that names no matter goes to No matter found for the firm administrator to review. Filed lists what has been confirmed.

Send from the matter

Write, reply and forward through your own mailbox from the matter's Emails tab. The outbound copy files itself on the matter and joins its conversation. Templates and the firm's signature accompany the message.

Mailbox copies and multiple matters

You can also connect your own mailbox and file mail. The matter's Emails register groups conversations and filters by source and date. One fixed message can belong to several matters without duplicating its contents. Open the message's Filed to matters register to add a reachable matter or remove a link with a reason. You must reach every linked matter to change its filing, and ethical walls prevent a copy leaving a protected file.

A filed copy's body, headers and document links stay fixed. The last matter link cannot be removed; discard with a reason instead. The historical record remains, and the scan gate still controls every attachment download.
