Task guide
Handing over a leaver's work
Move every open matter a leaver answers for to a partner and every open task to a colleague in one step, send any row elsewhere, and end their delegations and the leave they cover.
Before a leaver's last day, their open matters need a responsible partner and their open tasks need someone to do them. On the leaving checklist, Work they hold counts the open matters, open tasks, originals and files, delegations and the leave they cover.
Hand over the matters and tasks
- Choose Hand over on the checklist.
- Under Matters go to, choose a partner. Under Tasks go to, choose a colleague. Either may be left empty to move only the other.
- To send one matter or task to someone else, choose Send to someone else on its row. Send with the rest undoes it.
- Say why the work moves, and choose Hand over.
Every matter and task is judged before anything moves: if one cannot go as chosen (the partner is walled from that matter, the colleague cannot hold the task, or someone moved it meanwhile), nothing moves and the page says which. Each matter and task is audited on its own record, and each person who takes work is told once. A matter you cannot reach is counted, never named, and left for someone who can reach it. One step moves at most 200 of each; the rest are moved in a second step.
End delegations and cover
On Work they hold, the menu holds End delegations and cover: the approvals the leaver lent or held and the leave they cover end that day, and the colleague on the other side of each is told.
Once nothing is left in the leaver's name, the checklist's handover items tick themselves.
