Joining and leaving checklists
Every joiner and leaver works through a checklist set per role or department, each item ticked by its owner or by the system, and a leaver's account closes only once the blocking items are done.
A person joining the firm needs access, a practising certificate on file, a conflict declaration, their AML training and the firm's policies; a person leaving needs their work handed over, the originals they hold returned and their access removed on the last day. People, Joiners and People, Leavers hold one checklist for each.
Where a checklist comes from
A joining checklist opens on its own when somebody is invited to the firm, counted from their start date. A leaving checklist opens when someone records a leaving: on the person's page, the actions menu holds Record leaving, which asks for the last day, the reason and an optional note.
Each checklist is opened from the firm's template for the person's role, else their department, else the firm's template for everyone. The firm keeps its templates under Settings, People, Joining and leaving templates: each item names who answers for it (whoever holds a permission, a named person, the person's supervisor or the person themselves), when it falls due counted from the first or last day, whether the system ticks it itself and, on a leaving, whether it holds the account open. A leaver never answers for an item that holds their own account open.
Working through the items
The checklist's page lists its items with their due day and who answers for each. Whoever answers for an item chooses Mark done, or Not needed with a reason; a done item is reopened with a reason. Items the system can tell tick themselves: a role given, a practising certificate recorded, the conflict declaration signed, AML training assigned, every policy attested, a supervisor named, no matter or task left in the leaver's name, no originals held, delegations ended and access removed.
Whoever answers for an item is told when it is assigned and before it falls due, on the firm's Checklist reminders (days before); an item still open Escalate an overdue checklist item after (days) past its day goes to their supervisor. An owner who answers for one item sees that item, never the leaving reason, the note or the exit interview.
A leaver's last day
At the firm's Leaver's access ends at (hour) on the last day, the leaver's sessions end and they can no longer sign in. Their account closes once every blocking item is done. Where an item cannot be done (a laptop lost, a key never returned), someone who holds onboarding.override chooses Let the account close with the reason, and it closes on the last day. The exit interview is recorded from the checklist's menu and read only by those who keep the firm's leavers.
People, Joining and leaving counts joiners, leavers and candidates over a period, why people left and what is overdue now.
