Payment plans

Agree instalments with a client for one or more of its bills, and see each instalment's standing as the client pays.

Agree a plan

  1. Billing, Collections, Payment plans, then New payment plan.
  2. Choose the client and the day the plan was agreed.
  3. Tick the bills it covers. They must be the client's, in one currency, with money outstanding.
  4. Set the instalments. Split evenly shares the total into equal instalments a month apart from the first due day; change any amount or day as agreed.
  5. Agree plan. The instalments must come to exactly what the bills have outstanding, each on a later day than the one before.

A bill is in one active plan at a time, and reminder letters skip bills in an active plan.

How a plan stands

The plan's page lists its instalments as Paid, Part paid, Due or Overdue. They are read from what the client has paid on the plan's bills since it was agreed, applied to the instalments in order. When every bill is settled the plan reads completed.

Change the schedule

When the client agrees new dates or amounts, choose Amend schedule on the plan. The instalments open as they stand; split them again or change any line, and give the reason. The new schedule must still come to the plan's total, run in day order from the day the plan was agreed, and leave nothing unpaid before today once what the client has paid is read against it. Every change is kept under Amendments; open one to read the schedule before and after it.

The agreement letter

Preview the letter in the plan's menu shows the letter as it will be sent: the schedule on the letterhead, with the firm's terms under it. The terms are set once for the firm under Settings, Billing settings, in Payment plan letter terms; they start with the firm's default wording on how payments apply and what happens if an instalment is missed, and left blank print none.

Send letter emails it to the client's address, with any copies and a covering message; tick the addresses the firm holds for the client or the people at it, or type others. The letter is filed on the first bill's matter and on the client. Letters lists each one sent with whether it arrived; a bounced letter says why, and the sender is told.

Cancel a plan

Cancel plan ends an active plan with the reason. Its bills can then be chased again, and the plan keeps its history.
